What exactly is the B3irut Systems Engagement OS?
The Engagement OS is a complete business operating system built specifically for health and wellness studios in Lebanon. It handles online and WhatsApp booking, dual-currency payment collection, member management, class scheduling, retention tracking, and automated client communication. It replaces every spreadsheet, every WhatsApp thread used for scheduling, and every manual payment follow-up with one connected platform.
Is this just a booking system?
No. Booking is the entry point, but it is a small part of what the platform does. The Engagement OS also manages member lifetime value tracking, automated retention sequences, dual-currency payment logging, instructor payroll, class pack management, waitlist automation, and business performance reporting. Think of it as the operating system your studio runs on, not a tool you use for one task.
Which wellness verticals does the platform support?
The platform is configured for gyms, yoga studios, pilates studios, wellness centers, physiotherapy clinics, and spas. Each vertical has its own default configuration covering the specific workflows that matter for that business type. A pilates studio setup includes reformer-level booking and cancellation policy enforcement. A physio clinic setup includes appointment type libraries and insurance-format invoicing. You do not get a generic system and try to make it fit.
How is this different from global booking tools like Mindbody or Vagaro?
Those platforms were built for markets with stable internet, card-on-file payments, and English-first customers. Lebanon is none of those things. The Engagement OS is built with Lebanese power infrastructure in mind, accepts cash USD, cash LBP, Whish, and OMT natively, runs on 3G without breaking, and is designed for WhatsApp-first client behavior. Global tools are also priced in USD at rates that make no sense for the Lebanese market. We are not a cheaper version of a global tool. We are a different product built for a different reality.
Can the platform handle multiple locations or branches?
Yes. Multi-location businesses can manage all branches from a single dashboard with location-level reporting, staff access by branch, and consolidated revenue visibility across the entire operation.
What language is the platform available in?
The client-facing booking interface supports Arabic and English. The management dashboard is currently in English with Arabic support in active development. All automated WhatsApp messages can be configured in Arabic, English, or both depending on your client base.
Does the platform work for solo practitioners or only for studios with teams?
It works for both. A solo physiotherapist managing their own appointments gets the same booking engine, payment logging, and client communication tools as a gym with 20 staff members. The platform scales with your operation size.
Payments and Infrastructure
How does the platform handle Lebanon's dual-currency reality?
Every transaction can be recorded in USD, LBP, or both. The system generates invoices in whichever currency the client pays in and keeps a unified ledger that shows your total revenue in both currencies simultaneously. You never have to manually reconcile two separate records again.
Which payment methods does the platform accept?
Cash USD, cash LBP, Whish Money, OMT, and bank transfer. We do not require a payment gateway or a Stripe account. The platform is built around the actual payment methods Lebanese clients use today, not the ones a global platform assumes they use.
What happens during a power cut? Does the system go offline?
The booking engine and client-facing interface are hosted on cloud infrastructure outside Lebanon and remain accessible as long as your client has a mobile data connection. The management dashboard also functions on mobile data. For studio operations during complete connectivity loss, the system caches recent data locally so critical information remains accessible. When connectivity is restored, everything syncs automatically.
Can clients pay in advance online?
Yes, for studios that want to enable prepayment. Class packs, memberships, and session credits can be purchased in advance through a payment link sent via WhatsApp. Cash payment on arrival is also fully supported and logged correctly in the system.
How does the platform handle the lira rate fluctuation for LBP transactions?
You configure your own LBP rate in the system dashboard. When you update the rate, all new invoices reflect the updated figure immediately. Historical invoices remain unchanged. You are always in control of the exchange rate applied to your transactions.
Is there a risk of payment data being lost if the platform goes down?
Payment records are stored in a cloud database with continuous backups. Local failures or power issues in Lebanon do not affect the database. Every transaction logged in the system is retrievable at any time from any device with an internet connection.
Do clients need to install an app to book?
No. Clients book through a WhatsApp message flow or a web-based booking link. There is nothing to download and no account creation required for clients unless you want to enable member portals. The system is designed around how Lebanese clients already communicate.
Pricing and Contracts
What does the Engagement OS cost?
The Engagement OS is priced at 600 USD for setup and onboarding, plus 100 USD per month. The setup fee covers your full platform configuration, data migration from your current system, WhatsApp automation setup, staff training, and a 30-day onboarding support period. The monthly fee covers platform access, updates, and ongoing technical support.
Are there any hidden fees or per-transaction charges?
No. The pricing is flat. You pay the setup fee once and the monthly fee ongoing. We do not take a percentage of your bookings, charge per SMS, or add fees for additional features. What you see is what you pay.
Is there a minimum contract length?
There is no lock-in contract. The monthly subscription runs month to month after the initial setup. If the platform is not delivering value, you can cancel with 30 days notice. We prefer to earn your business every month rather than trap you in a contract.
Can the setup fee be paid in installments?
This is handled on a case-by-case basis. Reach out directly via WhatsApp to discuss a payment arrangement that works for your situation. We are a Lebanese business operating in the same economic environment as our clients. We are not rigid about payment terms.
What is included in the monthly fee?
Platform access for unlimited staff accounts, all feature updates, WhatsApp automation infrastructure, cloud hosting and backups, and access to the B3irut support team via WhatsApp. There are no tiered plans where key features are locked behind a higher price.
Do you offer a free trial?
We do not offer a self-service free trial, but we do offer a fully configured live demo built around your specific vertical and business size. What happens to my data if I cancel?
Your data belongs to you. On cancellation, we provide a full export of all client records, payment history, booking history, and configuration data in a standard format you can import into any other system. We do not hold your data.
Onboarding and Support
How long does it take to get the platform set up?
Most studios are fully operational within 5 to 10 business days of signing. That includes platform configuration, WhatsApp automation setup, data migration, and staff training. The timeline depends on the complexity of your service catalog and how quickly your team is available for the onboarding sessions.
Do I need any technical knowledge to manage the platform?
No. The management dashboard is designed for studio owners and studio managers, not developers. If you can use WhatsApp and a web browser, you can run the platform. Configuration changes, class schedule updates, pricing adjustments, and report exports are all done through a visual interface without any code.
What does the onboarding process look like?
Onboarding happens in four stages. First, we configure the platform to match your specific vertical, services, pricing, and team structure. Second, we migrate your existing client data from spreadsheets, your current booking tool, or wherever it currently lives. Third, we set up your WhatsApp automation flows and test them end to end. Fourth, we run a training session with your staff covering the daily workflows they will use. After that, a 30-day support period begins where we are available to answer questions and make adjustments.
What if my staff does not adapt to the system quickly?
We stay involved. The 30-day post-launch support period is specifically for situations where staff need additional guidance. We provide short video walkthroughs of specific workflows on request and answer questions via WhatsApp in real time. Most teams are fully independent within two weeks.
Is support available in Arabic?
Yes. Our support team communicates in Arabic and English. WhatsApp is the primary support channel, which means you get a response the same way you communicate with everyone else in Lebanon.
What are the support hours?
Support is available Monday through Saturday from 9am to 7pm Beirut time. For critical issues affecting live operations, we respond outside these hours as well. You will have a direct WhatsApp line to your account manager, not a generic support ticket queue.
Can you migrate data from our current system?
Yes. We migrate client records, contact information, membership history, payment history, and class schedules. The specific data we can migrate depends on what format your current system exports. We have migrated data from Excel files, Google Sheets, Mindbody exports, and paper records digitized by the studio team. If you have it in any structured format, we can work with it.
Technical Questions
Where is the platform hosted? Is the data stored in Lebanon?
The platform is hosted on cloud infrastructure outside Lebanon, which is intentional. Hosting inside Lebanon would expose the system to local power and connectivity instability. Cloud hosting ensures the platform stays online regardless of what is happening with the local infrastructure. Data is stored in encrypted, GDPR-compliant cloud databases with continuous backups.
Is our client data secure?
Yes. All data is encrypted in transit and at rest. Access to the management dashboard requires staff authentication with role-based permissions, meaning a front desk employee only sees what they need to do their job and cannot access financial reporting or sensitive admin settings. We do not sell, share, or use your client data for any purpose other than operating your platform.
Does the platform integrate with other tools we use?
The platform integrates with WhatsApp natively for client communication. Additional integrations with accounting tools, CRM systems, and marketing platforms are available depending on your specific setup. Discuss your existing tool stack during the demo call and we will confirm what is possible.
Can we customize the client-facing booking experience with our own branding?
Yes. The booking interface displays your studio name, logo, brand colors, and service catalog. Clients see your brand, not B3irut Systems branding. WhatsApp messages also go out under your studio's WhatsApp number after setup.
What devices does the management dashboard work on?
The dashboard works on any device with a modern web browser including desktop computers, laptops, tablets, and mobile phones. There is no installation required. Staff can manage the studio from their phone during a class if needed.
How does the platform handle data backup?
Backups run automatically every 24 hours with point-in-time recovery available for the previous 30 days. In the event of a data issue, we can restore your platform to any state within the past 30 days. You can also export your data manually at any time from the dashboard.
What happens to the platform during Lebanon's internet outages?
The platform itself stays online because it is hosted externally. What can be affected is your ability to access it from inside Lebanon if your internet provider goes down. In those cases, mobile data on any Lebanese network is sufficient to access the full dashboard and booking system. We recommend your front desk staff always have mobile data available as a backup connection.
